Integration

When integrating systems is better than consolidating them

Fewer systems is not always better. Sometimes the right answer is to keep the specialist tools and connect them properly.

Consolidating onto one platform can cut licence costs, reduce vendors and give everyone a single place to work. It can also force teams off tools that do their job well, and cost more to migrate than it ever saves. The better question is whether information moves between your systems without being typed twice.

Integrate when

A team relies on a specialist tool that the main platform cannot match, such as industry-specific software, advanced finance or a mature service desk. The systems are well used and the problem is only that they do not share data. A contract, a group standard or a regulator requires a particular system to stay. Or the cost and risk of migrating a large, established system outweigh the savings.

Consolidate when

Several tools do the same job for different teams. Most of the tools are lightly used and paid for in full. The same customer or order is kept in several places, with no clear owner. Or renewals are spread across many vendors and add cost and admin without adding capability.

Most businesses need both

In practice the answer is usually a mix: consolidate where tools overlap, and integrate where a specialist system earns its place. What matters is deciding which system owns each type of record, so every other system reads from it rather than keeping its own copy.

What to check this week

Pick one customer and count how many systems hold their details. For each one, note who updates it. If more than one system is being updated by hand, you have an integration or ownership problem, whatever you decide about consolidation.
